Material Price Book ("we", "us") provides metal pricing data and tools for checking quotes, estimating material costs, and managing RFQs. This policy explains what we collect, how we use it, and when we retain it.
What We Collect
Analytics
We use PostHog to understand how people use the site. PostHog collects pages visited, session activity, referring URLs, browser and device information, and approximate location based on IP address.
PostHog uses cookies and local storage to recognize returning visitors. We use this information to improve the site and understand which features are useful. We do not sell this data or share it with advertisers. You can review PostHog's privacy policy.
Accounts and RFQ Tools
If you create an account, we store your account information and preferences.
For authenticated RFQ tools, we store the RFQs and supplier records you create, including material specifications, quantities, requirements, due dates, notes, supplier contacts, delivery and response status, and supplier quote details. Uploaded quote PDFs and pasted quote text may also be stored.
We use this information to operate your RFQ workspace, send requests to suppliers you select, and collect and compare their responses.
Newsletter
If you subscribe to our newsletter, we store your email address so we can send it to you. You can unsubscribe using the link in any email.
Drawing Cost Estimator
If you upload an engineering drawing to the Drawing Cost Estimator, the file is sent to Google's Gemini API for processing.
Unless you choose to allow storage, the uploaded file is deleted after processing and producing your estimate. If you opt in, we store the file privately and may use it, its extraction results, and any corrections you provide to improve extraction quality.

Quote Check
When you use Quote Check, we retain the submitted pricing details, extracted specifications, and comparison results to build and improve our benchmark data. If you upload a PDF, we also retain a private copy of that PDF. Pasted source text is processed for extraction but is not retained as the original source document.
Your quote is kept confidential and is never published. Information from it may contribute to aggregated benchmark data, but we do not publish your document, supplier information, or identifying content.
Quote Check does not require an account. When we describe it as "anonymous," we mean that no signup or name is required. It does not mean that nothing is stored.
Direct quote sourcing requests
When you send us a direct quote sourcing request, we retain your uploaded PDF or pasted quote text, extracted order details, quoted prices, delivery ZIP, timing and certification requirements, excluded or current suppliers, contact information, and whether you asked us to contact competing suppliers. Unlike pasted text submitted to Quote Check, pasted text submitted with a sourcing request is retained so we can fulfill it.
If you ask us to shop the request, prospective suppliers receive only the material specification, quantity, a nearby approximate delivery area, and the price to beat during initial outreach. They do not receive your submitted ZIP during this initial shopping step.
Prospective suppliers do not receive your original document, your name or company, or your current supplier during initial shopping. If you later approve an introduction to a supplier, we may share the contact and delivery information needed to make that introduction and complete the quote.

How We Use and Share Information
We use collected information to provide the service, extract information from documents, maintain and improve benchmark data, respond to users, prevent abuse, and operate RFQ and concierge features.
We share information only with service providers needed to run the site, with suppliers as described above, or when required by law. We do not sell personal information or share it with advertisers.
Cookies and Local Storage

We do not use advertising cookies or third-party analytics beyond PostHog.
Service Providers
The site uses:
- PostHog for analytics
- Vercel for hosting and private document storage
- Google's Gemini API for document extraction
- Google Fonts served through Next.js and self-hosted by the site
These providers process information only as needed to provide their services to us.
Data Retention
Drawing files submitted without storage permission are deleted after processing and producing the estimate.
Quote Check uploads, direct quote sourcing submissions, drawings you allow us to store, and RFQ records are retained until you delete them through the service or ask us to delete them. Email hello@materialpricebook.com to request deletion. If you used a feature without an account, include enough information for us to locate the submission, such as the approximate date and document name.
Newsletter addresses are retained until you unsubscribe. Analytics data is retained until it is manually deleted or our PostHog account is closed.
After deleting a source document, we may retain aggregated benchmark information that no longer identifies you or links back to the document.
Your Rights
You can ask for a copy of personal information we hold about you or request its deletion by emailing hello@materialpricebook.com.
Changes
If we make material changes to this policy, we will update the date at the top of this page.
